Automation of processes for employee labour management

The Chiesi Group is a multinational pharmaceutical company based in Parma, founded in 1935, operating in Spain since 1995. Its objective is to be an international group focused on research, which develops and offers innovative and value-added pharmaceutical solutions aimed at improving people’s quality of life.

Their need

With more than 250 employees and constantly growing, digital transformation was key for Chiesi Spain. For this reason, it needed to streamline the processes of incorporation, data modification, and termination of employees to optimize the life cycle of the people in the organization.

The ICT and People Departments, which had all the employee information through different documents and applications in a distributed way, decided to use Nintex Workflow, on Microsoft SharePoint, to automate their processes. To implement it, they contacted NexTReT, a partner specialized in both technologies.

Our solution

The proposal consisted of the analysis and definition of flows, the optimal implementation and training for their subsequent self-management. The process of incorporating an employee has been optimized so that on their first day of work they already have everything they need. The Personnel Department creates the worker’s profile through a form in the system, and this automatically, and through alerts, sends all requests for requirements (computer, access to applications, vehicle acquisition, cards, etc.) to the different departments and systems. Control increases as all tasks remain pending until they are completed.

The updating of data is also expedited since it is the employee himself who directly introduces the modifications and a notification of the approval process is automatically sent. Even on sick leave, the employee takes a photograph of his medical part and incorporates it into the system with his mobile device, which detects it and sends it directly to the Personnel Department.

Finally, the unlinking is automated at the end of the contractual relationship and blocks all accesses and permissions in this regard.

Results

Chiesi now has a unified employee information database and an automated employee management process, in which the sign-up process has been reduced from 21 to 7 business days. The implemented solution, with fast ROI and without the need for an additional investment in infrastructure, allows obtaining greater productivity time and being able to monitor the status of each of your processes in real time.
