Automation of the process of managing travel and event requests for all users of a multinational company

An international Spanish company with a team of thousands of people spread across its different centres around the world and with the need to carry out a large number of trips and events throughout the year, needed to have a tool that would allow it to manage the large volume of requests efficiently and easily.

Their need

  • The new tool had to support 45,000 travel requests per year from more than 1,000 users
  • Event requests had to be managed as well, around 750 per year
  • Provide 24-hour support and be accessible from anywhere in the world

Solution

The proposed technical solution for the creation of the tool for travel and event management, which includes the activities of analysis, design, construction and implementation, is based on the following points:

  • Usability: Ensure that the final solution for each requirement is usable and easy to use for the non-technical user.
  • Simplicity: Maximize the use of the solutions and features that SharePoint offers us by default.
  • Robustness: Provide a robust solution that is easily implemented and scalable.
  • Maintenance: Minimize as much as possible the maintenance tasks that are carried out later, whether corrective and/or evolutionary maintenance.

The proposed technological platform for the new tool is Microsoft SharePoint Online together with Nintex Automation Cloud and Power BI for the preparation and visualization of the reports of the new information system.

How does the travel request tool work?

The person who requests the trip does so through the company’s own travel reservation application, this request is entered into the travel and event management tool developed by NexTReT and the flow of approvals begins both at the hierarchical and committee level, itinerary creation, sending of automatic emails and notifications and generation of reports.
