BSM

Digitalization of the Authorization Process for Minors at Events at the Anella Olímpica

BSM is a company of the Barcelona City Council that was created in 2002 with the aim of unifying the provision of municipal services in a single company.

Currently, the activities managed by BSM are varied and include everything from aspects related to mobility to the management of reference facilities dedicated to culture, leisure and biodiversity.

The challenge

BSM wanted to streamline the access control process for minors under 16 years of age at events organized in the Anella Olímpica that they manage themselves, given that, by law, people under 16 years of age are prohibited from entering entertainment venues, except when live performances are held and they are accompanied by parents or guardians, presenting an authorization from the legal guardian and an identification document for both the minor and the minor’s companion.

To facilitate compliance with this regulation, BSM decided to digitalize the authorization process necessary to allow the entry of minors and open up the possibility of doing this procedure electronically.

BSM sought to streamline the access control process and avoid prohibiting entry for minors with people who already have tickets.

Solution

BSM had a digital form so that one of the parents or guardians of the minor could complete it and thus initiate the electronic signature process.

NexTReT, via APIRest, communicated the digital form with the Sharepoint platform (Microsoft 365). This platform was configured and developed as a backoffice with a Microsoft Sharepoint Online site where all the requests received through the web are stored.

Through Sharepoint and the digital signature platform, the documentation that must be signed by the parent or guardian is sent. Once signed, an email is automatically sent with a QR code, which must be shown on the day of the event along with the ticket.

An APP was also developed for reading QR codes and validating requests. Corrective, adaptive, and evolutionary maintenance was provided for new functionalities of the tool.

With the Power BI tool, summary reports are generated for each event held at the Anella Olímpica.

Benefits

With the development of digital forms, BSM has been able to streamline the access control process for minors under 16 and simplify the authorization process by legal guardians, ensuring compliance with current regulations on access by minors to entertainment venues.

It also allows BSM to improve its efficiency when managing and storing data thanks to integration with Microsoft Sharepoint Online and BSM’s CRM, also facilitating the monitoring and tracking of all event registrations.

This application provides an efficient solution for managing minors’ access to events, improving the user experience, ensuring regulatory compliance, and optimizing BSM’s operational processes.
